RNR Process is a consulting and operations support company helping small to midsized businesses improve their workflows, strategy, and execution. We offer project-based consulting, virtual assistant services, and fractional leadership solutions to optimize how businesses operate.
To best meet your needs, we may engage a mix of internal team members, independent consultants, and third-party service providers—always with your goals and scope of work in mind. Any third-party collaboration is carefully managed to ensure alignment with our quality standards and your expectations.
2. Services Provided
Our services may include, but are not limited to:

Each engagement is guided by a proposal or Statement of Work (SOW) that outlines your objectives, deliverables, timeline, and terms.
3. Payment Terms
We offer different billing structures depending on the service type:
Virtual Assistant (VA) Services

Prepaid: All VA service hours must be paid in advance of service.

Refunds for Unused Hours: If prepaid hours are not used within the agreed-upon timeframe, unused hours will be eligible for a refund or credit, depending on your preference.

No Refunds for Used Hours: Once services have been rendered, those hours are non-refundable.
Project-Based Services

Milestone Billing: Payments are tied to the completion of clearly defined milestones. These will be specified in the project scope or proposal.

Progress-Based Payout: If a project is paused or terminated early, you are responsible for payment up to the last completed milestone.
Fractional Leadership Services

Post-Service Billing: Fractional leadership services are billed monthly, after services have been provided.

Net Terms: Payment is due according to the terms in your agreement (typically within 15 days of invoice date).
Late Payments & General Terms

Late payments may incur a 2% monthly late fee or the maximum allowed by law.

No refunds are provided for services already rendered or in progress unless otherwise noted (as in unused VA hours).
4. Client Responsibilities
To ensure a productive engagement, you agree to:

Provide timely access to information, systems, and resources

Respond to communications and provide feedback

Notify us promptly of any change in priorities or direction
Your input and transparency help us deliver work that adds real value.
5. Third-Party Collaboration
RNR Process may collaborate with vetted third-party companies, contractors, or consultants to fulfill our service obligations. This enables us to offer specialized support and meet the scope of work efficiently.
We remain the primary point of contact and responsible for managing the overall performance and quality of the services delivered, even when others are involved.
6. Intellectual Property

Yours Stays Yours: Anything you share with us—like business documents, brand assets, or processes—remains your property.

Ours Stays Ours: Any proprietary tools, templates, or systems developed by RNR Process remain ours unless expressly transferred in writing.

Work Product: Final deliverables tailored for your business become your property once payment is complete.
7. Confidentiality
We take confidentiality seriously. Any business, personal, or proprietary information shared with us will not be disclosed to third parties without your permission, except as required by law or as necessary to perform services on your behalf. Where applicable, we are happy to sign a separate Non-Disclosure Agreement (NDA).
8. Compliance Disclaimer
RNR Process provides strategic and operational advice designed to help your business run better. However, our consulting services are not legal, tax, or regulatory advice.
Our recommendations do not supersede or replace compliance with:

Local, state, or federal laws

Industry-specific regulations or codes

Guidance from legal, financial, or licensed professionals
You are responsible for ensuring your business remains in full compliance with all applicable rules and laws.
9. Limitation of Liability
We aim for excellence, but we are not liable for:

Any indirect or consequential losses

Delays due to third-party vendors or unforeseen circumstances

Decisions made using our recommendations without proper legal or professional review
Our total liability for any claim will not exceed the total fees paid for the specific service giving rise to the claim.
10. Termination
Either party may terminate services with a 30-day written notice. This allows both sides time to wind down, transfer responsibilities, and maintain continuity.
Upon termination:

You will be invoiced for any work completed or scheduled during the notice period

We will deliver any completed and paid-for work

No refunds will be issued for work already completed, in progress, or prepaid (with the exception of unused prepaid VA hours as noted above)
We encourage open communication to resolve concerns before initiating termination.
11. Website Use
By using our site, you agree not to:

Engage in unlawful or fraudulent activity

Violate intellectual property rights

Disrupt or damage our website
We reserve the right to restrict access to our site or services for violations of these Terms.

We may occasionally update these Terms to reflect changes in our offerings, laws, or best practices. We’ll post updates on this page, and continued use of our website or services implies acceptance of any changes.

14. Use of Third-Party Platforms
To provide efficient, high-quality service, RNR Process may use third-party platforms and tools—including but not limited to Slack, Monday.com, Google Workspace, Intellicure, Otter.ai, Medquill, and similar systems—to manage communication, scheduling, data collection, and documentation.
By working with us, you acknowledge and accept that:

These platforms are governed by their own privacy policies and terms of use

We take reasonable steps to ensure secure use of these tools and safeguard your information

RNR Process is not responsible for outages, data breaches, or malfunctions that occur on those third-party systems outside of our control
We do not store or use your data on these platforms in any way that exceeds the purpose of our engagement or violates confidentiality.
15. Availability and Turnaround Times
RNR Process operates Monday through Friday from 9:00 AM to 5:00 PM Central Time, excluding holidays. We aim to respond to all client communications within one business day. Any requests made outside these hours will be addressed during the next business day. Urgent or after-hours work may incur an additional fee and will be accommodated based on availability.
16. Scope Changes
If additional work is requested outside the original scope or Statement of Work (SOW), RNR Process will provide an updated estimate, timeline, and written approval request before proceeding. Any out-of-scope work completed without prior authorization will be billed at our standard rate.
17. Client-Provided Access & Information
You agree to provide timely access to necessary platforms, tools, and decision-makers. Any delays in access or communication from your side may affect project timelines. RNR Process is not responsible for missed deadlines or stalled progress due to delayed input, approvals, or required access.
18. Non-Solicitation
You agree not to directly solicit or hire RNR Process employees, subcontractors, or consultants during the course of our engagement and for a period of 12 months after it ends without prior written approval. If this occurs, a fee equivalent to 25% of the individual's anticipated annual compensation will be invoiced.
